Custom CRM development

Custom CRM development built around how you actually work

Off-the-shelf CRMs ask you to change your process to fit their fields. A custom CRM does the opposite: it follows how your team sells, delivers and follows up, and holds only the information you actually use.

Who it is for

Is this the right fit?

What you get

What we build for you

Pipelines that match your process

Stages, fields and rules named in your own words, so people recognise the system on day one.

Customers, projects and history in one place

Every conversation, file, quote and invoice attached to the right person or company.

Quotes, invoices and payments

Create a quote, get it accepted online, send an invoice and record the payment in the same system.

A client portal

Customers sign in to see progress, approve work, download files and pay, which saves hours of email.

Roles, permissions and audit trail

Each person sees only what they should, and every important action is recorded.

Integrations and imports

Connections to email, calendars, accounting, WhatsApp and your website forms, plus a careful import of your existing data.

How it works

From first call to launch

  1. DiscoverWe map how leads and customers move through your business today, and where time and information get lost.
  2. Scope and quoteA written scope of the first release: the smallest system that removes your biggest pain, with one fixed quote.
  3. Design and prototypeScreens you can click through and comment on before anything is built.
  4. Build and migrateThe system is built in stages, tested with your real data, and your existing records are imported.
  5. Launch and growTraining, a supported rollout, then new features in later phases as you ask for them.

You work with the person who builds it, approve every design in your private client portal, and pay in milestones. One written, fixed quote for an agreed scope, valid for 7 days, and you own the design and custom code once the project is paid.

UK, USA, Canada, Australia and Europe

Built for the markets you sell in

A CRM holds personal data, so where you operate matters: GDPR and UK GDPR in Europe and the UK, privacy laws in US states and Canada, and the Privacy Act in Australia. We build access controls, data export and deletion into the system, and keep the data in a region and with a provider that suits your obligations. This is general information, not legal advice.

Questions

Frequently asked questions

When is a custom CRM better than an off-the-shelf one?

When your process is unusual, when you pay for many features you do not use, when you need a client portal or approvals tied to your records, or when your data has to live in one specific place. For simple needs, an existing product is often cheaper, and we will say so.

How long does a custom CRM take to build?

It depends on scope, which is why we plan a first release that is deliberately small, usually a matter of weeks, then add features in phases. The quote states a timeline for the agreed scope.

Can you import data from spreadsheets or my current CRM?

Yes. We clean and map your existing data, import it, and check the result with you before the old system is switched off.

Who owns the system and the data?

You do. Once paid, you own the design and the custom code, and the data is yours to export at any time.

Can it connect to my email, accounting software or WhatsApp?

Usually yes. Each outside system has its own rules, so we check what its API allows before promising a particular integration.

Is a custom CRM secure?

We build with sign-in options such as passkeys, role-based access, encrypted secrets, rate limiting, backups and an audit trail. Security is part of the design, not an extra.

Can it grow with my business?

Yes. The system is built in modules, so adding a new pipeline, a report or another team later does not mean starting again.
